How Maxxit handles information across our website and on-premises desktop software for TallyPrime.

Please read this Privacy Policy carefully. It explains how Maxxit ("Maxxit", "we", "us", or "our") collects, uses, stores, shares, and protects information when you use our website, request a demo, or use Maxxit Tally System/Software — our on-premises desktop software for TallyPrime.

By visiting our website, submitting a demo request, or using our desktop software, you acknowledge that you have read this Privacy Policy. We may update this policy from time to time as described in the Changes to This Privacy Policy section below.

1. Scope of This Privacy Policy

This Privacy Policy applies to personal information that Maxxit collects, uses, shares, and otherwise processes when you:

  • Visit or use our website at maxxit.ai or any other website we operate where this Privacy Policy is posted (the "Website");
  • Submit a demo request, contact form, or other inquiry through the Website;
  • Download, install, sign in to, or use Maxxit Tally System/Software — our Electron-based desktop application for TallyPrime (the "Desktop App"); or
  • Use the optional Client Agent background service that runs on your machine to receive client documents through WhatsApp (the "Client Agent").
  • For purposes of this Privacy Policy, we refer to the Website, Desktop App, Client Agent, and related support channels collectively as the "Services."
  • This Privacy Policy does not apply to TallyPrime, WhatsApp, or other third-party products you choose to connect. Those services are governed by their own privacy policies.

2. Information We Collect

As used in this Privacy Policy, "personal information" means information that identifies or could reasonably be used to identify an individual, such as a name, email address, or phone number. It also includes other non-public information we associate with such identifying information.

The information we collect depends on how you use the Services.

Information you provide on the Website

When you request a demo or otherwise contact us through the Website, we may collect:

  • Name
  • Email address
  • Phone number
  • Firm or company name
  • Preferred demo date and time slot
  • Accounting software in use (for example, TallyPrime)
  • Any other information you choose to include in your message

Information collected automatically on the Website

  • Device and browser information (browser type, operating system, screen resolution)
  • IP address and approximate location derived from IP
  • Pages viewed, links clicked, and referral sources
  • Log data, timestamps, and diagnostic information
  • Cookies and similar technologies, as described in the Cookies and Tracking Technologies section

Information processed in the Desktop App (on your machine)

Maxxit Tally is designed to run on your premises. When you use the Desktop App, the following categories of information are processed primarily on your local computer:

  • Account and workspace details (personal or firm workspace, team membership, and role)
  • Authentication session information stored in your operating system's secure storage
  • Documents you import (PDFs, images, spreadsheets) and their original file paths
  • AI-extracted accounting fields, review edits, and voucher-ready structured data
  • Tally connection metadata, company selection, and cached master data (ledgers, stock items, templates)
  • Work item queue status, posting history, and reconciliation records
  • Configuration settings and product usage events needed to operate the app on your device

Information processed by the optional Client Agent

If you enable the Client Agent, the following information is processed locally on your machine:

  • Approved client phone numbers on your allowlist
  • Pending sender requests from unknown contacts awaiting your review
  • PDF and image documents received from approved clients
  • Messaging metadata needed to queue documents for review inside Maxxit Tally

Information from third parties

  • Service providers that help us operate the Website (for example, hosting and form-processing tools)
  • Authentication providers used during secure sign-in to the Desktop App
  • Business partners when needed to deliver a service you request

3. How We Use Information

We use the information we collect to:

  • Provide, operate, maintain, and improve the Services
  • Process demo requests and respond to inquiries or support requests
  • Authenticate users and manage accounts and workspaces
  • Enable document intake, AI extraction, ledger matching, review workflows, and posting to TallyPrime
  • Operate the optional Client Agent intake channel when you choose to enable it
  • Send service-related notices, security alerts, and product updates
  • Analyze usage to improve performance, reliability, and user experience
  • Detect, prevent, and address fraud, abuse, security incidents, and technical issues
  • Comply with legal obligations and enforce our agreements

4. On-Premises Processing and Client Data

Maxxit Tally is built for chartered accountants and finance teams who need automation without sending client books to the cloud. This is a core part of how our product works.

As part of the standard Desktop App workflow:

  • Client invoices, bank statements, and other financial documents you process are stored on your local machine — not on third-party cloud servers for storage
  • Extracted review data, posting history, work queues, and Client Agent received files remain on your local system
  • TallyPrime remains your system of record for posted vouchers, ledgers, and financial reports
  • Every voucher goes through human review before posting — nothing is silently auto-posted
  • Internet connectivity is required for secure sign-in and AI extraction, but document storage and Tally posting are local operations under your control

What lives in TallyPrime

  • Posted vouchers and accounting entries
  • Master data such as ledgers, stock items, and company information
  • Financial registers and reports generated inside TallyPrime

5. How We Share Information

We do not sell your personal information.

We may share information only in the following circumstances:

  • With service providers who help us operate the Website and related business systems — for example, storing demo requests in our internal tools
  • With infrastructure, authentication, analytics, or support providers that process data on our behalf under contractual safeguards
  • With professional advisors such as lawyers, auditors, or insurers where reasonably necessary
  • If required by law, regulation, legal process, or a valid governmental request
  • To protect the rights, property, or safety of Maxxit, our users, or others
  • In connection with a merger, acquisition, financing, reorganization, or sale of business assets, subject to appropriate confidentiality protections

6. WhatsApp Client Agent

The Client Agent is an optional intake channel for firms whose clients already send documents over WhatsApp. It is not required to use Maxxit Tally.

When you enable the Client Agent:

  • You link WhatsApp on your machine using the standard linked-devices flow
  • Only phone numbers you approve on your allowlist can send documents into your review queue
  • Unknown senders can be held for your review before any document is accepted
  • Received PDFs and images are stored locally in your agent data directory
  • Documents are not auto-posted to Tally — they follow the same review workflow as other intake channels
  • Default client acknowledgement messages can be configured by you

Your responsibility

WhatsApp is operated by a third party. Your use of WhatsApp and the Client Agent is subject to WhatsApp's own terms and privacy practices. You are responsible for configuring allowlists, reviewing incoming documents, and ensuring your use complies with applicable professional and client confidentiality obligations.

7. Cookies and Tracking Technologies

Our Website may use cookies and similar technologies to:

  • Remember preferences and improve performance
  • Understand traffic and usage patterns
  • Support authentication, security, and basic analytics

Your choices

You can control cookies through your browser settings. If you disable cookies, some parts of the Website may not function properly.

8. Data Retention

We retain personal information only for as long as necessary to:

  • Provide the Services
  • Fulfill the purposes described in this Privacy Policy
  • Comply with legal, tax, accounting, or reporting requirements
  • Resolve disputes and enforce our agreements

Website and demo requests

Information submitted through demo requests or contact forms is retained for as long as needed to respond to you, manage our sales and support relationship, and meet our business record-keeping obligations.

Desktop App and Client Agent data

Documents, extracted data, posting history, queues, and Client Agent files remain on your local machine until you delete them or uninstall the software, subject to your own retention practices and professional obligations.

9. Data Security

We use reasonable technical and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, or alteration.

On your machine, Maxxit Tally stores extracted review data and related records using local protection mechanisms appropriate for desktop software. Session tokens are stored using your operating system's secure storage where available.

No method of transmission over the internet or method of electronic storage is completely secure. We cannot guarantee absolute security.

10. Your Rights and Choices

Depending on your location and applicable law, you may have the right to:

  • Access personal information we hold about you
  • Correct inaccurate or incomplete information
  • Request deletion of personal information we control
  • Restrict or object to certain processing
  • Withdraw consent where processing is based on consent
  • Request a copy of your information in a portable format, where applicable

How to exercise your rights

To exercise these rights, contact us using the details in the Contact Us section. We may need to verify your identity before responding to certain requests.

For data stored locally in the Desktop App on your machine, you may also delete files, clear queues, or uninstall the software directly on your device.

11. Third-Party Services

Maxxit may link to or integrate with third-party websites and services, including:

  • TallyPrime and Tally-related connectivity on your local machine
  • WhatsApp when you optionally enable the Client Agent
  • Tools used to process Website demo requests and operate our business systems
  • External websites linked from the Website

Third-party responsibility

We are not responsible for the privacy practices of third parties. We encourage you to review the privacy policies of any third-party service you use in connection with Maxxit.

12. Children's Privacy

The Services are intended for business and professional use. They are not directed to children under 13 years of age, and we do not knowingly collect personal information from children under 13.

If we learn that we have collected personal information from a child under 13 without appropriate consent, we will take steps to delete such information.

13. International Users

Maxxit is primarily designed for chartered accountants and finance teams in India. If you access the Services from outside India, please note that your information may be processed in countries other than your own, including where our service providers operate.

We take appropriate measures to protect personal information in accordance with this Privacy Policy and applicable law.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last Updated" date at the top of this page.

If we make material changes, we will provide notice as appropriate under applicable law. Your continued use of the Services after an update becomes effective constitutes acknowledgment of the revised policy, unless otherwise required by law.
